How it's calculated

Subtotal = sum of line totals. Discount applies to the subtotal (capped so it can never go negative). Tax applies to the subtotal minus discount. Shipping is added after tax.

What this generator does

This creates a professional invoice, proforma invoice, receipt, or quotation — add your business details, the client's details, and your line items, and a formatted document is ready to download as a PDF or print immediately. Everything happens in your browser; nothing you type here is sent to or stored on any server.

How to use it

Fill in your business details once — they're saved in your browser (not on our servers) so you don't have to retype them next time you use this tool. Add client details and line items, set a discount or tax if applicable, and the totals update automatically. Switch between the three templates to find a style that fits, then download a PDF or print directly from the page. Use "Clear saved details" if you're on a shared computer and don't want your business information remembered.

Invoice vs. proforma invoice vs. receipt vs. quotation

An invoice is a formal request for payment for goods or services already provided or agreed upon. A proforma invoice is a preliminary bill sent before the work is done or goods are shipped — it's not a demand for payment, just an estimate of what will be owed. A receipt confirms payment has already been received. A quotation is a price offer before any commitment is made. Switching the document type here only changes the heading and number label — the underlying math is identical.

Common mistakes

The most common mistake is forgetting to set a due date, which makes it harder for clients to know when payment is expected and easier for them to deprioritize it. A second is leaving the tax label generic ("Tax") instead of using the name your local tax authority actually uses (VAT, GST, Sales Tax) — using the right term signals the document was prepared properly. If you apply both a discount and tax, double-check the order matters: tax here is calculated on the discounted amount, not the original subtotal, which matches how most tax systems actually work but can look surprising if you expected tax on the full subtotal.

Frequently asked questions

Is my invoice data stored anywhere?

No — everything is generated in your browser. Your business details are saved only in your own browser's local storage so you don't have to retype them, and you can clear that at any time with the "Clear saved details" link.

Can I use this for a receipt or quotation instead?

Yes — the document type dropdown switches between Invoice, Proforma Invoice, Receipt, and Quotation. It only changes the heading and number label; fill in the same fields either way.

Does it support VAT, GST, or other tax systems?

Yes — the tax label is a free-text field, so you can label it VAT, GST, Sales Tax, or whatever your local system uses, alongside the rate.
